Business Administrator – Job Description
Elvet Chartered Surveyors is a multidiscipline surveying practice specialising in Building Surveying, Asset Management, Cost Management and Project Management. Based in the north-east we boast an impressive portfolio of clients with experience across a wide range of sectors including local authority, residential, infrastructure, education and commercial.
Elvet have an exciting opportunity for a Business Administrator, who is motivated, ambitious and professional to complement our team The role will be in our Durham office at Portland House, Belmont Business Park, DH1 1TW.
Responsibilities will include:
- General administration duties
- Assisting surveyors in preparing and maintaining project files.
- Preparing letters and issuing to our customers.
- Recording received post, distributing to relevant people and tracking responses.
- Scanning in documents and filing electronically in accordance with our filing structure.
- Maintaining our electronic filing structure.
- Assisting our surveyors in taking minutes, preparing minutes and other site reports.
- Telephone/Client interface
- Main point of contact for telephone calls within the business, recording details, forwarding to relevant people etc.
- Contacting our clients to organise meetings, making appointments or dealing with general queries.
- Booking appointments on behalf of our surveyors in accordance with our management system, issuing and recording job tickets. This may include planning in our surveyor’s diary.
- Ensure our surveyors maintain appointments.
- Issuing documents to our clients.
- Updating our internal CMS system.
- Issuing quotations and invoices using.
- General bookkeeping using our internal software to track orders, invoices etc.
- Collecting timesheets and inputting data into our performance monitor sheet.
- Keeping our ISO systems updated
- All other generalist administration duties in keeping with the business operation
Elvet is a busy office with a varied workload so the above tasks will fluctuate depending on the commissions that we are have secured.
Qualifications:
- You will have GCSE English and Maths to grade C or above (or equivalent).
- You will have experience of working within a surveyor practise, (Preferred but not essential).
- Exhibit a sound understanding of all Microsoft Office software programs.
- Demonstrate excellent written and verbal communication skills.
- Able to work as part of a team or unsupervised.
